Label and Document Printing Setup

The following options are found in the Setup menu. You must be a member of the Administrators Role in order to access the Setup Menu. Click Setup, then Printing.



SYSPRO Mobile Warehouse can be configured to output information related to a transaction after successfully posting to SYSPRO or performing certain functions. 


NOTE: SYSPRO Mobile Warehouse does not have built-in label printing functionality but simply exports data to an ascii text file. This file can be read by external label printing software such as NiceLabel or BarTender. For example, you can configure SYSPRO Mobile Warehouse to work with your label printing software to print stock labels when posting a purchase order receipt.


The Setup > Printing section of the Navigation menu is used to Add, Edit or Delete Documents, Labels, Output Locations and Custom Fields. 


Documents
are items such as Pick Slips or Packing Lists.

Labels are definitions that determine what data is exported during a "Print" action and the format of that data.

Output Locations are locations to which SYSPRO Mobile Warehouse will export label data files.

Custom Fields are used to collect additional data from the Users at time of Print to add a custom piece of data to the label.



Document Printing

Document Printing allows you to create Picking or Packing slips or load documents that have been built by riteSOFT into SYSPRO Mobile Warehouse. These documents can then be printed after certain transactions take place such as Order Picking or Packing.


Creating a Document


Click the Create Document button to add a new Document. See Editing a Document below for a description of the available settings.


Editing a Document


Note that pre-built Documents created by riteSOFT cannot be edited.



Name - Provide a Name for the Document.


Description - Provide the Document's Description.


Report Type - Select from the available options to define the Report Type.



Upload Logo - Click the "Select files..." button to select a jpg, .jpeg, or .png file to be printed on the Document. Click the "Upload Logo" button to add the file to the Document. Click the "Remove Logo" button to remove the logo.


Custom Title Text - Enter any text you wish to print in the top right corner of the Document.


Barcode - Check the box to print the Sales Order number in barcode format.


Company Name - Check the box to print your Company Name on the Document.


Sales Order Number - Check the box to print the Sales Order Number on the Document.



Customer Address - Check the box to print the Customer's Bill To Address on the Document.


Ship To Address - Check the box to print the Customer's Ship To Address on the Document.



Order Info Grid - Check to box to print order header data above the Order Lines Grid.


Columns - Select one of the available columns from the list. Click the Add button to add that column to the Document. Click the track can icon to remove a column. Click and drag the 3-lines icon to reorder the columns.



Lines Grid - Check to box to print order line data below the Order Header Grid.


Columns - Select one of the available columns from the list. Click the Add button to add that column to the Document. Click the track can icon to remove a column. Click and drag the 3-lines icon to reorder the columns.



Custom Footer Text - Enter a value to print in the footer of the Document


Date Printed - Check to box to print the Date Printed in the Footer of the Document.


Page Count - Check to box to print the Page Count in the Footer of the Document.


Importing a Document


You can import a custom built document provided by riteSOFT. Click the Import Document button.


Name - Provide a Name for the Document.


Description - Provide the Document's Description.


Report Type - Select from the available options to define the Report Type.


Import Report File - Click the "Select files..." button to select the custom built .trdx Document file. Click Import.


Labels

Labels are definitions that determine what data is exported during a "Print" action and the format of that data. Labels will contain the variables for the data you wish to export as well as other settings such as the Print Target which is the type of transaction this label will apply to (for example, PO Receipt or Job Issue). You can search for an existing Label using the Search box. You can also click the column headings to sort the list by that column. Click the 3 dots icon to add a Filter to the grid to narrow the list of Labels to a more defined scope.

Adding a Label


Click the Add Label button to add a new Label. See Editing a Label below for a description of the available settings.


Editing a Label



Print Target - Select the type of label you're setting up. The Print Target you select will determine the variables available to you for this Label.


Name - Provide a Name for the Label.


Description - Provide the Label's Description.


Contents - This is where you define the data that will be exported during a Print action. This can include variables for any data available for the selected Print Target. The variables available are limited to the data that SYSPRO Mobile Warehouse receives back from the SYSPRO Business Objects related to the transaction. You may also input static data such as text or commas to format the data as needed.


To add variables to the Contents, locate the needed variable on the right side of the screen under Print Fields, click the variable to add it to the Contents box. You can rearrange the data in the Contents box as needed by cutting and pasting the text. Remember that all variables need to be wrapped in curly braces { }. Any text outside of curly braces will be exported as shown including text, spaces, tabs, etc.


You can also Search for a variable by typing your search term and pressing Enter or Tab. Remember that the variable names come directly from the SYSPRO Business Object and are often times abbreviated words, so keep your Search as simple as possible. You may need to try different abbreviations to find what you're looking for.


Header Format - Provide any required data that should be included before the Contents. This could be a BarTender Commander script or any other data that is needed as a header before the actual data.


Default Number of Copies - When the Print dialog is displayed to the User, they have the ability to provide a Number of Copies to print. This setting defaults that value to a specific number. It's most common to default this to 1 so the User does not need to change it to 1 on the Print Dialog. If the User needs more than 1 copy, they are free to change the Number of Copies on the Print dialog at the time of printing.


File Extension - The file extension of the output data file. Default is "txt".


Output File For Each Copy - Check this box to indicate that a separate file should be created (exported) for each Copy. Leaving this unchecked will create a single export file with multiple lines of data, one line for each Copy.


Print Fields - These are the variables available based on the Print Target that you selected. Some Print Targets will contain only one set of variables, others will contain many sets of variables. Expand each set to display the available variables within that set. Click a variable to add it to the Contents section. You can Search for a variable name by typing in the Search box and pressing Enter or Tab. Remember that the variable names come directly from the SYSPRO Business Object and are often times abbreviated words, so keep your Search as simple as possible. You may need to try different abbreviations to find what you're looking for.


Output Locations

Output Locations are directories where the data file will be exported. They are folder locations where the exported text file will be created. These locations are where NiceLabel or BarTender will be setup to monitor for new incoming files and subsequently perform the actual printing.




Output Location Setup

Output Locations are the folder locations that the text files exported by SYSPRO Mobile Warehouse are sent to on the SYSPRO Mobile Warehouse server or another server on the local network, like the Bartender or Nice Label server for example.


Adding an Output Location


Click the Add Location button to add a new Output Location. See Editing an Output Location below for a description of the available settings.

Name - Provide a Name for the Output Location.


Description - Provide the Output Location's Description.


Folder Path - Provide the directory where the export data file should be created during the Print action.




Custom Fields

Custom Fields allow for extra data to be entered by the Users at time of Print to add a custom piece of data to the label. The field for this extra data must still be setup in the Bartender or Nice Label setup for this data to actually make it to the physical label.



Custom Field Setup

Go to Setup > Printing > Custom Fields


To add a new Custom Field click on the + button in the upper right corner of the screen.



Name - Provide a Name for the Output Location.


Description - Provide the Output Location's Description.


Type - Use the dropdown list to select the type of data that will be gathered in the Custom Field, this will determine the format for the data and what type of data is allowed to be entered into the field. For example, if Numeric is selected only numbers will be allowed to be entered into the Custom Field.


Required - Check this box if the Users will be required to enter data into this field to proceed with the Print.



Once a Custom Field is created in SYSPRO Mobile Warehouse, a new Print Field section will become available when creating or Editing a Label that is named "Custom Fields". This is how you add them to a Label so the Users can see them during Printing
